The Auchterarder Adult Education Association ("AAEA") is a small charity that provides adult education classes in and around the town of Auchterarder in Perth and Kinross, Scotland. All the tutors and organisers are volunteers.
When we were approached to help, the whole operation was run with leaflet drops, cash, cheques and Excel spreadsheets.
Our initial brief was to provide an online catalogue of courses, with simple PayPal links to book. However, it soon became clear that this solution wouldn't solve some of their fundamental issues - like manual updating of Excel spreadsheets.
So, we suggested a simple eCommerce system that would allow them to publish the courses, take bookings and track course attendees. No more leaflets, spreadsheets or cheques.
Working to a very tight budget, we used a basic design to allow us to focus resources on the eCommerce solution. We created a site that provided an online prospectus and allowed students to book onto classes. This saved the printing and delivery costs of a paper prospectus and greatly reduced the workload of the team.
We built a bespoke back-office system to allow the AAEA organisers to manage their classes and tutors, track class bookings and payments, and analyse the results.
As a result, the AAEA has significantly grown its number of classes, students and revenue since the website went live in August 2023. In the year between August 2025 and July 2026 there were over 600 bookings.
In 2026, at an AAEA Committee meeting, the Committee credited much of their recent success to the website.
